NCERS/ Sponsors

If you have several attendees to report to the CE Registry, we recommend uploading the information in a spreadsheet. You can report one to 500 entries at once. More than one course can also be reported within the same spreadsheet. 

First an attendance upload spreadsheet, saved as a .csv file, will need to be created in a specific format, which you can download by clicking Download Template in the lower right hand corner of the Upload Program Attendance Page.

The headers are as follows:

Program Approval Code

Completion Date

Participant Hours Earned

NAB Id

First Name

Last Name

Sessions Attended

 Some items to remember when using the upload attendance spreadsheet:

  1. In column 4, NAB ID, you can also use a person’s email address or primary state license number, if you do not have their NAB ID. This must be the email address or primary state license number the individual has used to create their NAB ID. If you use a license number, the format will need to be the state abbreviation-license number (i.e. NJ-12345)
  2. The date format needs to be MM/DD/YYYY.
  3. The last column, Sessions Attended, can be left blank, but the header needs to be present.

 Once you have completed the upload attendance spreadsheet within Excel, please Save As a .CSV (Comma delimited) file.

Next, you will need to log into https://www.nabweb.org/ and click on Member Login at the top right of the page. Please enter your credentials to access the website.

Once you have signed in, please click on the NCERS Homepage/ Third Party Certification Programs link on the Mange My Account page.

While on the NCERS Homepage, please click on Sponsor, below the NAB logo, and then select Attendance.

To upload attedance from a spreadsheet, while on the Program Attendance page, please click on Upload Attendance. upload button

Once the file is saved as a .CSV file, it can be uploaded. Please click on “Choose File” on the Upload Program Attendance page and browse to find the attendance file to be uploaded, then click Open. The Provider field will be completed with your sponsor name.

After the attendance file has been selected from your computer, please click Process File.

If you receive any alerts, the row number will be included for investigation of the issue. 

Some common alerts include:

Completion Date [MM/DD/YYYY] must be greater than or equal to the Start Date [MM/DD/YYYY] associated with the Activity.

This means that the date of the course is incorrect for the approval code you have used.

Verify that the year is formatted as a four digit number, i.e. 2018.

Please confirm that the program approval code dates are correct for the completion date you are entering.

If the program ran over the course of several days, please use the last day of the course as the completion date.

  1. First Name [JIM] doesn't match the name on file [JAMES].

Please change the name in your file accordingly. 

This can also happen for a person’s last name. If need be, please consult your attendance sheet to verify you have the correct person.

  1. NAB ID [RXXXXXXX] was not found.

This means there could be an error in the NAB ID. You can always look up the administrator and verify their NAB ID.

Some common mistakes include a space between the R & the number or at the end of the number.

The NAB ID could be too short. It should be an R, followed by 7 digits.

Lines that have an error can be cut and saved to a different spreadsheet to be corrected later. Those lines that are acceptable can then be uploaded. Once issues are fixed with the problem lines, they too can be uploaded. Course attendance does not need to be uploaded all at the same time.

If you need to report a few individual's attendance for a course, it may be just as fast to enter the details one at a time. This is not recommended for a large group. 

Please visit https://www.nabweb.org/ and click on Member Login at the top right of the page. Please enter your credentials to access the website.

Once you have signed in, please click on the NCERS Homepage/ Third Party Certification Programs link on the Mange My Account page. 

MMA NCERS

You will be taken to the NCERS Homepage. Please click on Sponsor, below the NAB logo, and then select Attendance.

While on the Program Attendance page, please click on Enter Attendance. enter attendance button

The following form will need to be completed. The Sponsor field will be completed with your sponsor name.

Once you have completed all the fields, please click Process. If there are any problems you will be given an alert as to what the issue is. 

If any corrections need to be made, such as credits earned, please email the details to nab@nabweb.org. Please include the individual’s first and last name, NAB ID, program approval code, completion date, and what the hours should be changed from and to.

If you are a sponsor and would like to run a report on a course to verify hours reported by you or an attendee, please visit https://www.nabweb.org/ and click on Member Login at the top right of the page. Please enter your credentials to access the website.

Once you have signed in, please click on the NCERS Homepage/ Third Party Certification Programs link on the Mange My Account page.

A new page in our nab.learningbuilder site will open up. In the blue bar, under the NAB logo, look for Sponsor. Click on Sponsor and in the drop down, please select Report.

If you click on the Attendance Report you will be given a list of all attendees that have your courses reported on their CE Registry, whether you reported their attendance or the individual administrator did. If you would like to limit the report to just one course, enter the approval code in the box below Activity_Number and then click on Filter.

If it says “yes” under Sponsor Verified it means that you, as the sponsor, have reported their attendance. If it says “no” under Sponsor Verified, it means the individual reported their attendance themselves. This report also has the actual hours recorded to their registry. You will have to scroll to the left to see all entries in this report.

Please note that it can take about an hour after you have reported attendance for it to appear in this report.

To verify if someone has a CE Registry and find their correct NAB ID, you can do a search within the NCERS Homepage section of our website. 

Please sign into https://www.nabweb.org/ with your credentials.

Next, click on the NCERS Homepage/ Third Party Certification Programs link on the Mange My Account page. A new page in our nab.learningbuilder site will open up. 

MMA NCERS

In the blue bar, under the NAB logo, look for Sponsor. Click on Sponsor and in the drop down, please select Registry Search.

You can now look up a person by their last name to see if they have a registry.

If you are a sponsor and need to report that you had no attendees to a NCERS course, please log into https://www.nabweb.org/ and click on the NCERS Homepage/ Third Party Certification Programs link on the Manage My Account page. 

MMA NCERS

Once you are on the Programs page of our site, you can search by course title or approval code to find the course you wish to indicate had no attendees. 

 Please change Status to All and then click Filter. programsearchfields

Once you have found the course you wish to report no attendance for, please click on the gear button to the right of the course listed and select, No Attendance.

If after reporting "No Attendance" you need to report attendance in the future, you are able to do so in the usual manner. Reporting No Attendance does not prevent you from reporting attendance at a later date. 

A box will pop up asking you “are you sure?” Please select OK. 

Please note that if you need to report attendance for this course at a later time you will be able to do so through the usual means of uploading a spreadsheet or entering attendance individually.

If a new employee needs to have administrator access to your account in order to submit courses, make payments, and report attendance, first have them create a new account at nabweb.org by clicking Member Login and then Not a Member? Sign Up!

Next, a current administrator on your sponsor account will need to email us at nab@nabweb.org and request the individual be added to your sponsor account. Please include the person's name and email address that they used to create their account.

If you need to remove or delete a former employee from your sponsor account, you can do so by logging into https://www.nabweb.org/ with your credentials.

Please click on NCERS Sponsor - Manage Employee Contacts.on the Manage My Account page.

You will now see a list of employees who have access to your sponsor account. Please click on the person's name that you wish to remove and add an end date to their employment and click Save.

This will no longer allow them access to the sponsor account, but they will still have access to their personal account with their CE Registry.

If you are a sponsor and would like to see a report of all outstanding programs, for which you have not reported attendance, please run the "unreported attendance" report.  

Log into https://www.nabweb.org/ and click on the NCERS Homepage/ Third Party Certification Programs link on the Mange My Account page.

A new page in our nab.learningbuilder site will open up.  In the blue bar, under the NAB logo, click on Sponsor and in the drop down, the select Report.

Please click on the Unreported Attendance link to run the report.

You will see a list of programs that have ended since April 1, 2018 which have no attendance reported.  This will include programs with an end date in the future.  You only need to be concerned with entering attendance for those programs that have ended prior to today's date.

Automated messages are sent from NAB to the email address for your account in regards to program submission, program approval, payment confirmation, etc. If you need to find a message that was sent to you in the past, please visit “My Communications” while logged into your account.

 While on the NCERS Homepage, click on My Account in the upper right hand corner, which will take you to your Account Details page. 

Click on My Communications below your company name. A list of all messages sent from the NCERS system will be listed.

A search can be done, one page at a time, by typing Ctrl & F. This will open up the find function. You can enter the A number of your program if you are looking for a specific approval email message. This find function will only work one page at a time. You may need to advance to the next page, by clicking Next at the bottom of the list of communications, to continue the search.

A program can be found by program ID, title, or keywords, or even program type such as in person or distance learning. The Program ID is a unique system number that is different from the NAB approved number. This number will allow sponsors to search by distance learning programs, in person programs, and additional sites. Please go to the NCERS Homepage and enter the program ID or keywords from the program title. Change status to All and click on Filter. program search The Status option will allow sponsors to sort by the state of review the program is in currently. The search options are all programs, pending programs which include ones under review, or completed programs which are ones that have been approved/denied.
